Macedon Public Library Board of Trustees

Minutes for the meeting of February 20, 2008:
Location: Conference Room, Macedon Town Hall, Macedon, NY
1. President Bartels called the regular meeting of the Board of Trustees for the Macedon Public Library to order at 1:01 P.M.

3. Secretary’s Report
Minutes of the regular meeting of January 16, 2008, were approved. Motion by Jefferson. Second by Hamilton. Unanimously passed.
4. Financial Report
Moore submitted the attached three resolutions. The first and third were seconded by Hamilton. The third was seconded by Proctor. All passed unanimously.
Treasurer Leonard reported that the Town, as a part of government, is not eligible for non-profit bulk mailing. The Library could set up a non-profit account to send out the Macedon Messenger. The Library would be able to keep the same permit number. Hamilton moved that the MPL Passed unanimously.
Treasurer Leonard distributed copies and reviewed the financial report for January 2008. Motion by Hamilton, second by Moore to accept the Treasurer’s report. Unanimously passed.
Three trustees verified vouchers #22-42 inclusive. Approval was made for payment of abstract #2, February 2008, in the amount of $7507.23. Motion by Jefferson. Second by Proctor. Unanimously passed.
5. Director’s Report
Director Virkler provided a Library Director’s Report to the BOT on current activity and events. Included were the following highlights:
- Circulation in January was up from last year’s—10,109 from 9791.
- Builder Frank Nicoletta will return in the spring to fix the unsightly leak over the aquarium.
- Graphic novels, different types of audio books, and excerpts from the annual report were discussed and explained.

7. Old Business
Bullis Room - John Hamilton, Liaison
- More work on the definition of “stabilization” is needed. $900 was spent on repairs with $8100 remaining.
Friends of the MPL - Joan Handfield, Liaison
- The quilt is completed. The Town must be contacted for permission to hang it in the Library. Book bags for the two-year-olds will be made at this week’s meeting.
CRMPL Finance Committee - Bill Moore, Liaison
The committee applied for matching funds in December and should hear in late February or early March the results. The “thank you” party for Library supporters was a success.
Other Old Business
After the meeting is adjourned Moore, Read, and Handfield will address envelopes for letters to be sent to (long range planning) committee members.
8. New Business
Moore reported that the annual report to the community in the Macedon Messenger will be similar to last year’s format but maybe not quite so long. The intent is to have the Messenger in the community’s hands by the middle of March. If the Friends receive the grant, an envelope for matching funds will be included.
Read expressed a desire for the BOT to advertise the Board vacancy. However, the Town does that. She would also like a copy of the audit to be given to each BOT member. She inquired as to which Trustee signs checks: Either Bartels or Hamilton.
9. Next regular meeting will be March 19, 2008, at 1 P.M. in the Macedon Town Hall Conference Room, Macedon, NY.
10. Adjournment at 3:05 P.M. Motion by Hamilton. Second by Jefferson. Unanimously approved.
