Macedon Public Library Board of Trustees

Minutes for the meeting of December 19, 2007:
1. President Bartels called the regular meeting of the Board of Trustees for the Macedon Public Library to order at 1:20 p.m. following lunch at Lorrie's Secret Garden.

3. Secretary's Report
The minutes of the regular meeting of November 21, 2007 were approved. Motion by Moore. Second by Read. Unanimously passed.4. Financial Report
Director Virkler distributed copies and the BOT reviewed the financial report for 1/01/07 to 11/30/07. Motion by Hamilton. Second by Bellis to accept the Treasurer's report. Unanimously passed.Moore moved to authorize the Treasurer to move $1,500 from Equipment (L7410.00) to Clerical (L7410.142) to ensure appropriated funds to pay clerical staff. Second by Jefferson. Unanimously passed.
Three Trustees verified vouchers #174-193 inclusive. Approval was made for payment of abstract #11 in the amount of $11,883.53. Motion by Hamilton. Second by Jefferson. Unanimously passed.
5. Director's Report
Director Virkler provided a Library Director's Report to the BOT on current activity and events. Included were the following highlights:
- Circulation in November was 9,385.
- The MPL is now the official "Biography" library and will receive $500 a year from PLS on the stipulation that the MPL spend $200 as well.
- Pat Stocker will meet with staff on January 16, 2008.
- In mid-January, the PLS HQ will circulate downloadable audio books for MP3 players. (Moore suggested that the library buy several players so staff may become accustomed to them.)

Bullis Room - John Hamilton, Liaison
Hamilton asked if anyone knew if the contract had been signed with Kistler. Supervisor Hammond told Hamilton that he does not sign that contract. President Bartels should be the one to sign. (It is in a special folder in the library.) Bartels will contact Kistler regarding three visits per year and the fact that they should bring their equipment and parts with them when they visit.Hamilton is still trying to get a definitive definition of "stabilization." Every five years there will be work on part of the collection. In January, the insurance policy regarding the value of the collection will change from $202,000 to $221,259.
Talk about digitizing the collection is still on-going as is discussion of who owns the collection. A special certificate of ownership is needed.
June Hamell would like the Bullis Room to be more user-friendly. She would like to move furniture around and perhaps out of the room. However, a user of the room cannot be there alone.
Friends of the MPL - Joan Handfield, Liaison
The Friends will have their Christmas luncheon/meeting tomorrow.
Joan Moore is graciously acting as liaison to the Grant winners, but she would not mind if someone else assumed those duties.

The Friends' matching goal of $12,000 was reached. There will be a “Thank You” party on February 9, 2008, at Parkwood Heights.
Bartels gave copies of the auditor's reports to Leonard, Virkler, Moore, and Bellis. The BOT did well.
Hamilton moved to close the meeting. Bellis seconded. Approved. The next regular meeting of the MPLBOT will be January 16, 2008, at the Macedon Town Hall Conference Room, Macedon, NY.
