Macedon Public Library Board of Trustees 

Meetings are held on the third Wednesday of the month at 1:00 p.m. in the Conference Room at the Macedon Town Hall. For more information, please call (315) 986-5932, Ext. 3 (Library)

Minutes for the meeting of October 17, 2007   

Location - Conference Room, Macedon Town Hall, Macedon, NY       

  1. President Bartels called the regular meeting of the Board of Trustees for the Macedon  Public Library to order at 12:58 P.M. in the Conference Room of the Macedon Town Hall.

3.   Secretary’s Report

The minutes of the regular meeting of September 19 were approved as amended  to read that Moore would pass the information on to Leonard . (#14)  Hamilton so moved. Read seconded. Unanimously passed. Moore added that the Town Board had already passed the budget and approved the increase we requested.

4.   Financial Report - Treasurer Leonard

  • Copies of the financial report were distributed. Treasurer Leonard reviewed the report for January 2007 through September 2007. Motion to accept by Hamilton. Second by Read. Unanimously passed.
  • Upon reviewing the books for the Library from January through September, the numbers appear to look good with the following budget adjustments: Moore moved to transfer $3200 from account L7410.200 into account L7410.430 and $600 from L7410.200 into L7410.439. Proctor seconded. Unanimously approved.
  • Leonard reported that the late fee assessed as reported last month has been waived.
  • Leonard looked over the information regarding Pat Stocker’s work on a long rage plan. Discussion followed. Hamilton moved that the secretary be responsible for filing contracts, legal correspondence, etc., in the Library Director’s Board Correspondence filing cabinet drawer in a file labeled Board Legal Documents/Contracts. Bartels seconded. Unanimously approved.
  • Three Trustees verified vouchers #150-162 inclusive. Approval was made for payment of abstract #9 in the amount of $6491.34. Motion by Bellis. Second by Hamilton. Unanimously passed.

5.    Director’s Report

Director Virkler provided a Library Director’s Report to the BOT on current activity and events. Highlights discussed were:

  • Circulation in September was up slightly from last year’s.
  • A patron was barred from the library for inappropriate computer use.
  • The library will be closed from October 24-26 as previously discussed.

6.      Town of Macedon Liaison Supervisor Hammond - absent

7.      Old Business

Bullis Room - John Hamilton

  • Hamilton reported that $500 was spent for book repair leaving a balance of $4400. He is still working on fire suppression (see last month’s  minutes). Moore added that the amount discussed previously is not $300,00 but $200,000 therefore there will be less money for other things once stabilization of  the collection is reached.

 Friends of the MPL - Joan Handfield

  • The fall book sale is this week.

  Outreach: County Jail

  • Parkwood does not need assistance at this time.

                      CRMPL Committee -  Bill Moore

  • $10,608 has been raised this year toward the $12,000 goal. There is approximately $89,000 in the Endowment Fund.

             Additional Old Business - Mert Bartels

              Gray (the auditor) has four recommendations:

1.      Update long range plans

2.      Confirm with the Town at least annually that accounts are fully collateralized

3.      Create a committee to provide oversight of the Treasurer, especially Form 990

4.      Continue reconciliation of cash and receipts drawer

8.      No new business

9.      The next regular meeting of the MPL BOT will be in the Macedon Town Hall Conference Room
          on November 21,  2007.

10.    Hamilton moved to adjourn at 2:45. Proctor seconded. Unanimously passed.
