Minutes for the meeting of September 19, 2007:
Location - Conference Room, Macedon Town Hall, Macedon, New York
- President Bartels called the regular meeting of the Board of Trustees for the Macedon Public Library to order at 1:05 P.M. in the Community Room of the Library.

- Secretary’s Report
- Minutes of the regular meeting of August 15 were approved. Motion by Hamilton. Second by Moore. Unanimously passed.
- Financial Report - Kim Leonard, Treasurer
- Copies of the financial report were distributed. Treasurer Leonard reviewed the report for August. Motion by Jefferson. Second by Hamilton. Unanimously passed.
- Three trustees verified vouchers #129-149 inclusive. Approval was made for payment of abstract #8, August 2007, in the amount of $8164.43. Motion by Hamilton. Second by Jefferson. Unanimously passed.
- Director’s Report
Director Virkler provided a Library Director’s Report to the BOT on current activity and events. Highlights discussed were:
- Circulation in August was slightly down from last year’s.
- Virkler would like the library to close during the proposed dates of October 24-26 in order to better cope with the scheduled OWWL down time.
- On October 2, Hamell will attend the Community Foundation Luncheon honoring Paul Rubery. The cost will come out of the Library Petty Cash.
In response to Virkler’s request, Hamilton moved that the library close October 24-26 for the changeover to Linux and that there should be an alternate plan “just in case.” Second by Read. Unanimously passed.

- Old Business
Bullis Room - Hamilton, Liaison
- Hamell ordered a new scanner for the Bullis Room. Hamilton is looking into what a “stabilized collection” is. When the collection reaches this state, any extra money in the upkeep budget might be able to be used for other purposes.
- Hamilton also talked about ultraviolet free lights and an alternate to a Halon gas suppression system as Halon is no longer available to the public.
Friends of the MPL - Handfield, Liaison
- Book Sale October 18-20
- Outreach to Parkwood Heights
- Quilt progress
CRMPL - Moore
- The fundraising is doing well and should hit $10,000 plus matching funds.
- The Board of Directors received five applications for grants. Two were selected: historical presentations and graphic novels.
8. Other Old Business
- Virkler reported that a Literacy Volunteer Grant meeting is October 5, 2007.
9. New Business
- President Bartels reported that the Masons are holding a paperback book drive for soldiers overseas. (Later e-mail provided the information that it would cost about $6 for less than 14 pounds of paperbacks. The smaller package can go on the first available airline, making this as good as priority mail without paying the priority mail charge.)
- Read brought in a copy of the Palmyra Daughters Free Library long range plan.
- Pat Stocker’s fee for preparing a plan for the MPL is approximately $1,650. Virkler provided the information that working on this plan would entail two Saturday mornings one month apart (contributed by Read). Moore moved that the BOT of the MPL set up a contract with Stocker to perform a long term plan evaluation, the cost not to exceed $2,000. Read seconded. Unanimously passed. Read will call Stocker.
- The BOT reluctantly accepted Abbe Harbol’s resignation whose term officially expires in December 2007.
- Moore discussed the budget pages. Expenses should be kept to no more than a 5% increase but we should ask the town for 8% which would allow us to eventually balance the budget. After discussion it was decided not to pass the budget this week to allow for Moore to amend it.
- Virkler and Bartels will go before the Farmington Board to discuss budget.
- Read moved to appoint guest Heather Proctor to Stacey Perez’s position on the BOT which expires in December 2007. Second by Bartels. Unanimously approved.
10. The next regular meeting of the MPL BOT will be in the Macedon Town Hall Conference Room on
Wednesday, October 17, 2007.11. Moore moved to adjourn at 3:04 P.M. Jefferson seconded. Unanimously approved.
